We’re looking for a Juniors Administrator
Founded in 1922, Pembroke Wanderers Hockey Club is an amateur sports organisation, rooted in the community. As an active, successful and thriving club that prides itself on providing a healthy outlet for all ages, we are also highly inclusive, social and community minded, encouraging and nurturing a culture of member volunteering at all levels.
The Juniors Section is a key, thriving part of this club community, with around 700 Juniors members and nearly 30 competitive teams. From the moment a child joins Juniors we want them to feel the most welcome they could be, clearly knowing and feeling our Pembroke Juniors values of respect, friendliness, support and safety throughout their time with us.
Job description
Based on a recent review of our needs as a Club and some restructuring of roles, we are now seeking a Juniors Administrator. A highly collaborative role, working with a key Club team (Juniors Captains, Juniors Head Coach, Clubhouse Office team, parents, and other Club members when required) this new position will ensure all our key administrative systems run smoothly.
Reporting to the Juniors Captain, specific tasks include:
- Maintain the Juniors membership database including:
- the timely and accurate registrations of players within the Club, including admission of new players and renewal of current ones
- manage the Juniors waiting list and administer the offer process
- undertake simple analysis of Juniors Section numbers when required
- liaise with Leinster Branch & Hockey Ireland for membership registrations and any necessary season administration
- Supports the Office team with the the collection of Juniors subscriptions, camp fees and monthly coach payments where required
- Administer the coach contracts ensuring timely issue and signature
- Working with the Children’s Officer and Child Welfare team, process the Club’s Garda vetting documentation
- Manage the main Juniors inbox ensuring queries are handled by the appropriate Club representatives in a timely manner
- Undertake some basic communications work for Juniors section:
- Ensure that all WhatsApp channels are set up correctly each season so that coaches can appropriately speak with players and parents, adding new recruits when required
- Collaborate with the Communications reps in the Club (Senior & Junior) to help develop timely Club communications materials
Hours & remuneration
- 10-15 hours a week, with greater flexibility during off-season months (May to July)
- 20 days annual leave (pro rata), plus all public holidays and Good Friday
- Hybrid working arrangements with options to work in the Clubhouse & at home.
- Salary to be determined based on discussions and hours available.

- Strong computer shared database skills, with a particular focus on attention to detail
- Excellent record of customer service, based on our Juniors values of friendliness, respect, support and safety.
- Great teamwork and interpersonal skills, love of collaboration with people, working to find positive, practical solutions together
- Reliability, good organisational and time management skills and the ability to work well under pressure.
This role would be ideally suited to someone who has done previously data administration in the past and is now looking for a role which, in return for that skill set, will provide significant flexibility in a community affirming environment.
